AloeLuma Inc. ("AloeLuma," "we," "us," or "our") operates the AloeLuma platform — an AI-powered collaborative ideation tool that interviews participants before sessions, synthesizes insights, and pre-populates collaborative canvases. Our service is currently in early access / waitlist phase.

2. Information We Collect

2.1 Information You Provide Directly

• Waitlist email address — when you sign up for early access
• Pre-session interview responses — text responses you provide during AI-conducted interviews before collaborative sessions
• Session content — notes, cards, and content you add to collaborative canvases
• Contact information — if you reach out to us via email

2.2 Information Collected Automatically

• Usage data — pages visited, features used, session duration
• Device information — browser type, operating system, screen resolution
• IP address and approximate location — for security and analytics
• Cookies and local storage — to maintain session state and remember preferences

2.3 Information We DO NOT Collect

• Payment information (we have no paid tiers during beta)
• Social media profiles or external account data
• Biometric data of any kind

3. How We Use Your Information

We use the information we collect to:

• Operate, maintain, and improve the AloeLuma platform
• Send you waitlist notifications and early access invitations
• Power our AI synthesis engine to generate insight notes from interview responses
• Analyze usage patterns to improve the product experience
• Respond to your support requests and inquiries
• Detect and prevent fraud, abuse, or security incidents
• Comply with legal obligations

We do not sell your personal information to third parties. Ever.

4. AI Interview Responses & Anonymization

A core feature of AloeLuma is anonymous AI pre-session interviews designed to elicit candid responses. Here's how we handle that data:

• Anonymization by default: Interview responses are presented to session facilitators in aggregated, de-identified form. Individual attributions are not shown to other participants unless you explicitly opt in.
• AI processing: Responses are processed by our AI system (and may be processed by third-party AI providers) to generate insight synthesis. We use appropriate data processing agreements with any AI vendors.
• Retention: Interview responses are retained for the duration of the session and up to 90 days afterward, then automatically deleted unless you request earlier deletion.
• No training on your data: We do not use your interview responses to train AI models without your explicit consent.

5. Information Sharing

We share information only in limited circumstances:

• Service providers: We work with trusted vendors (hosting, analytics, email delivery, AI processing) who process data on our behalf under strict data protection agreements.
• Legal requirements: We may disclose information if required by law, court order, or to protect the safety of our users or the public.
• Business transfers: If AloeLuma is acquired or merges with another company, your information may be transferred as part of that transaction. We will notify you in advance.
• With your consent: We share information with third parties when you explicitly authorize it.

6. Data Retention

We retain your data for as long as necessary to provide our services and comply with legal obligations:

• Waitlist data: Until you unsubscribe or 24 months from signup, whichever comes first
• Session data and interview responses: 90 days after session completion, then deleted
• Account data: For the life of your account, plus 30 days after account deletion
• Anonymized analytics: Up to 2 years, in aggregated form

7. Your Rights & Choices

Depending on your location, you may have the following rights regarding your personal data:

• Access: Request a copy of the personal data we hold about you
• Correction: Request correction of inaccurate or incomplete data
• Deletion: Request deletion of your personal data ("right to be forgotten")
• Portability: Request your data in a portable, machine-readable format
• Objection: Object to certain types of processing (e.g., direct marketing)
• Withdrawal of consent: Withdraw consent at any time where processing is consent-based

Unsubscribe from waitlist emails: Click the unsubscribe link in any email we send, or contact us directly.

8. Cookies & Tracking

We use cookies and similar technologies to:

• Maintain your session state (authentication cookies)
• Remember your preferences
• Analyze how the product is used (analytics cookies)

You can control cookies through your browser settings. Note that disabling certain cookies may affect product functionality. We do not currently use advertising or retargeting cookies.

9. Security

We take reasonable technical and organizational measures to protect your information, including:

• Encryption in transit (TLS/HTTPS) and at rest
• Access controls and authentication requirements for staff
• Regular security reviews and monitoring
• Incident response procedures

No system is perfectly secure. If you discover a security vulnerability, please report it responsibly to security@aloeluma.com.

10. Children's Privacy

AloeLuma is not directed to children under 16 years of age. We do not knowingly collect personal information from children under 16. If you believe we have collected information from a child under 16, please contact us immediately and we will delete that information.

11. International Data Transfers

AloeLuma operates primarily from the United States. If you are located outside the US, your information may be transferred to and processed in the US or other countries. We take appropriate steps to ensure such transfers comply with applicable data protection laws, including using Standard Contractual Clauses where required.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by:

• Emailing the address you provided (for waitlist members)
• Posting a notice on our website with the updated effective date

Your continued use of AloeLuma after changes take effect constitutes acceptance of the updated policy.
